Email Communication Methods

Email Communication Methods

The email communication techniques are the following,

·          The first useful technique is CC – Carbon Copy. This is because when you are writing an email and you want to send it to two or more people, you put them in the CC space and when you send this, the people who receive the email will be able to see who has sent it. BCC – Blank Carbon Copy is the opposite of CC. When writing an email to two people and you want only one person to see the email, you put a name in the CC for the person you what to see the email and the other in BCC so the person CC will not be able to see the other person`s name. For example you wanted to send an email to your boss and you -+don’t want anyone else to see it. You would put your bosses name in the Blank Carbon Copy box only so no one else can read it.

·          The second technique is spam filter. A spam filter is programmed into an email account used for the detection and deletion of spam emails, also known as junk or unwanted emails. Spam email is by definition received by the user, meaning he has not asked to receive it. Spam is often sent by money making companies and can many times lead to the user's computer being infested with viruses, spyware or other malware.
·         Rules is an important technique because when you are receiving emails what you hate getting and you don’t have any ware to put them, there is simple folder without you doing it by yourself. For example, when you’ve got a folder and when you have just received a number of different emails, it automatically put the emails into the right folder making your inbox for your wanted emails only.
·         And the third technique is Anti-virus filtering is enabled on all user email accounts to prevent our users receiving viruses what could be hidden in the email. This is useful because if the virus is hidden and you open it you will have no idea what it is doing to your computer.

·         There is a virus program called phishing. This is very harmful to your computer and very hard to spot in an email. The reason why is because phishing is the program what hacks your computer to get all of your personal example, if you receive an email what is like trying to sell you something like free vouchers and you click on it, as soon as you click on the email, the phishing virus will have full access to everything what belongs to you. So a tip to bodge the viruses is if you get and email like it, don’t click on it and bin it.

Principles of effective communication

i have shown general attributes, specific attributes and the attributes of effective communication and two examples of each one and how they relate to the title.

Principles of effective communication

A principle of effective communication is a type of language what everyone uses. This is a skill what people are looking for all the time and this skill is essential for all kinds of jobs. An example of this skill is engaging the audience and general planning. Intonation is where you are speaking about some information to someone and the information is very important, the speaker changes the tone of his-her voice to suit the humanity of the speak. Interpersonal is also seen as a skill to have for people to notice. This means things like body language, gestures and lip reading. This is to give a visual description to people who may have a disability. The last skill people will be noticing is written communication what is a principle of effective communication. This is because if you wanted to write a memo or a letter to someone, they would need to know how to set up things like a email, a letter, fax and be able to do things like always know to check for spellings, punctuation, this is because if you are sending something to a professional person they need to be able to get everything right.

General communication skills
This type of ability is planning. Planning is so important because planning your work makes things so much easier for yourself and this is because you can get things done a lot quicker. Also this ability might be good for social networking sites such as Facebook, twitter and my space. This is good for general communication because you can learn the basics of communication and learn how to set things up. Catering for cultural differences is important. This is because if you have people from different countries, you will need to make sure that your information is understood by everyone. Also if people have a hearing disability, you will have to make that there is plenty of things to look at such as pictures and information so it can be more clear for people. Communicating with your audience is recommended because if they ask questions, they will be looking for a answer what can give them extra information. This also helps with confidence because you are talking to a variety of people you’ve never seen before.
Interpersonal communication skills
This is an ability which you have a conversation face to face or with more than 1 person to share or discuss your information. This is talking about people expressing themselves to the group with gestures. The group of people are looking for a clear explanation which involves hand movements and different types of body language to describe what they are showing.
Written communication skills
Written communication skills is all about how to use similes and emotions and text messages. People are looking for things to do with these type of skills because they to how good they can write a professional message. However the person receiving the message my come the conclusion that the other person has sent a inappropriate message. But if it was a face to face, the person receiving the message would laugh and know the person is joking because they could of put a smiley on the message. They need to put your sincerely at the end of an email because this shows who its from.

Creating a personal development plan P7

I am meeting my personal development plan criteria because i have showed that i know what type of strengths and weaknesses for computer systems i have chosen for what sort of knowledge i know.

In lesson sir has been through this personal development plan with me asking me why i have choose these strengths. we,ve taken apart a computer, in groups, and finding out what types of things such as graphics cards, hard drives and disk drives do and how they are put into a computer.

I have done the same for website production and showed the things what i can do and things that needs to be  worked on.

I have identified my development needs by showing what things i need to work on about how computers are put together, and also knowing what type of processor would be best for all the different types of computers.

I have shown for development opportunities when i can learn and understand more about my weaknesses put down in this document.

The targets i have put down are the most important from the recent information.

Creating A Personal Devlopent Plan (P7)

P7 – Creating a Personal Development Plan

Activity:

Based on the Task 1 scenario (Previous page) you must now create your own PDP that will be later uploaded to a blog and followed for the remainder of the year.

A - PDP

1.       Establish Purpose/Direction

Based on the ‘useful information’ section on the previous page describe what your main strengths are and what areas you think need to be developed for each discipline. Remember that you must justify each of your strengths against your past experiences and training.

Computer Systems (Unit 2)
Strengths
Possible Areas to Develop
I know how to operate any computer system.

I know how to install the right software and also know what all the different types of hardware’s do and what the differences are.

Know how to put all of the components together on a computer.

How to tell the differences between all the types of processors.

The best security software

Website Production (Unit 28)
Strengths
Possible Areas to Develop
The layout of my site.

Making sure the buttons work and are in the right page.

The right colour scheme.

Plenty of pages for the audience to look at.

Making my website more interactive with people using the site.

Checking to make sure everything works correctly.

2.       Identify Your Development Needs

Outline which of the highlighted development areas will be your priority (e.g. which are you main weaknesses) and justify why you have chosen them (e.g. knowledge of building a computer – never had the opportunity to build a standalone computer).

Priority 1
Put all the components together- never known 100% what everything does.
Priority 2
Knowing the processors-which processor would be best for this computer.
Priority 3
Security software-which one would the recommended security software program.
Priority 4
How to put more interactive features in-need more ideas for interactive features.
Priority 5
Checking everything works correctly-how to check all the links in the hyperlinks.
Priority 6

3.       Development Opportunities

Explain how you hope to improve the skills that you have highlighted. What resources/opportunities will be at your disposal (e.g. lesson time, online tutorials)

To improve my skills I could improve them by learning in lesson time. This is a great opportunity because my teacher is a high qualified IT teacher who knows mostly anything about computers and all the things I need to know, to improve my skills.

I can improve my skills by using online resources. This is because the internet is full of different types of information what could be useful to me to improve my IT skills.

Also I could improve my skills by online tutorials. This is because they show you step by step on how to do certain skills and how to do thing correctly.

4.       Formulate Action Plan – Set Targets

Create a set of SMART targets based on your identified needs from the previous section.

Target 1
Within the next year or so I will work hard to understand the main components about computer hardware.
Target 2
Next thing would be how to put together and assemble a computer together and in the process I would learn all the different settings so I know where the cables go. So I will make sure I will use my teachers knowledge to complete my tasks.
Target 3
Thirdly I would need to understand hardware because there are so many different types out there. I need to communicate with my teacher so we both know what thing need to be sorted.
Target 4

Target 5

Target 6
